Style Template & Overview

The Style Template is the form that defines the structure of the Datasheet which is created in Freeway when a user records data. 

Examples of Style Templates include:

  • Create a Sales Quote
  • Create a Job Order
  • Create a Customer
  • Recording the Materials used
  • Recording Time sheets for one or more employees
  • Pick goods from inventory to a sales Delivery / Job or Assembly Order
  • Recording Proof of Delivery when goods are delivered
  • Creating a Call Ticket
  • Update an Item Batch Status
  • Creating a Purchase Order
  • Receipting Goods
  • Recording Stock Count results
  • Transferring Inventory from one location to another
  • Receipting goods from an Assembly Order

The Contents of a style template are specific to the business process the Freeway user is to perform. The Template itself can contain one or many different types of options that will allow the Freeway user to record data against within the Datasheet.

Typical options may include..

  • Checklist(s)
  • Register(s)
  • Photos
  • Sketches
  • Signatures
  • Materials
  • Time
  • Notes
  • Update of Workflow Status

We will now work through the various fields available when setting up a Style Template:


Prerequisites to Style Template Setup

Information NB: These are optional however must be defined if you wish to use them in your Template
  • Template Group (Mobility -> Settings -> Template Groups)

This allows you group multiple Style Templates together in a logical group for the Freeway user to select from after they have selected a Job or Customer etc.. In the example below, two groups have been defined: Job Related and CRM 

  • Setup any Checklists that are to be used in the Template (Mobility -> Check Lists)
  • Setup any Signature records that are to be used in the Template (Mobility -> Settings -> Signature Names)
  • Setup any Mobility Note records that are to be used in the Template (Mobility -> Settings -> Note Names)
  • Setup any Sketch records that are to be used in the Template (Mobility -> Settings -> Sketch Names)
  • Setup any Custom Inquiries that are to be used in the Template (Mobility -> Inquiry Packs)
  • Setup any Notify Groups that are to be used in the Template (Mobility -> Settings -> Notify Groups)
  • Setup any Print Name records that are to be used in the Template (Mobility -> Settings -> Print Names)


Style Template Setup:

Go to Mobility -> Style Templates

  1. Type in a short appropriate name for this Template
  2. Type in a Long Description
  3. Browse and select a Template you you wish to link this Style Template to
  4. Creation Style: These are the options associated with this Template allowing the Freeway user to create new transactions or update existing data. An appropriate Lookup will be displayed in Freeway when the user selects the 'New' button. This option will control what happens next when the Freeway user selects this template

Creation Style when Selecting a Customer:

N/A - not applicable

New Direct Invoice - Allows the Freeway user to create a new Direct Invoice

New Actual Job - Allows the Freeway user to create a new Job Order (Refer note below)

New Order Job - Allows the Freeway user to create a new Job Order (Refer note below)

New Quote Job - Allows the Freeway user to create a new Job Quote (Refer note below)

New Quote Sales - Allows the Freeway user to create a new Sales Quote

New Order Sales - Allows the Freeway user to create a new Sales Order

New POS Order - Allows the Freeway user to create a POS Order

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Information
New Actual Job and New Order Job essentially perform the same task. These separate options were originally built into Ostendo before the Style Template screen allowed for specific Job Types to be linked to the Template. The Job Type used for either of these options (and New Quote Job) will be that specified in Field 7 or 8 above depending upon whether this Template is used for Customer Assets or not. If these field are not specified, the Job Type on the Employee Mobility settings 'Job's tab will be used

Creation Style when Selecting Supplier:

N/A - not applicable

New Order Purchase - Allows the Freeway user to Create a new Purchase Order (Refer note below)

New Receipt Purchase - Allows the Freeway user to receipt goods without a Purchase Order

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Information
The Purchase Order Type used when New Order Purchase is selected will be that specified in Field 9 above. If this field is not specified, the Purchase Type on the Employee Mobility settings 'Suppliers' tab will be used


Creation Style when Selecting Job:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Order - Materials / Times / Notes recorded within the Data Sheet will update the Job Order.


Creation Style when Selecting Assembly:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Order - Materials / Times / Notes recorded within the Data Sheet will update the Assembly Order.


Creation Style when Selecting Delivery:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Order - Picking of Goods & Notes recorded within the Data Sheet will update the Delivery.


Creation Style when Selecting Purchase:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Receipt - Allows the Freeway user to Receipt goods from a Purchase Order


Creation Style when Selecting Count:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Count- Allows the Freeway user to update Count Qtys and Recorded Notes relating to a specific Inventory Count


Creation Style when Selecting Transfer:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Transfer - Allows the Freeway user to create a Stock Transfer and record the movement of stock between Locations


Creation Style when Selecting Internal:

N/A - not applicable

Data Only - The Data is kept within the Data Sheet. No transaction tables will be updated in Ostendo

Update Times - Allows the Freeway user to record non-costed timesheet data usually for Payroll /reporting purpose.

New Re-Stock Order - Allows the Freeway user to manually record items to be Purchased. Freeway will then auto create Purchase Orders as required


5. Set Copy to Invoice for Linked Job Data Sheet Creation: Tick this box if you want to "Copy to Invoice" when a Data Sheet pdf is generated and linked to the Job

6. Material Lookup Style : Select either Standard or Graphical. Graphical means images are included in the items/descriptors lookup. Images will be displayed if the item or descriptor has a Mobility Image associated with it. The Mobility Image must be square and have an optimal size of 256 by 256 pixels.

7. Job Type for New Job Order: This Type will be used in preference to that set against the Employee Mobility Settings 'Jobs' tab. This override is used in conjunction with the Creation Style when Selecting a Customer: New Actual Job or New Order Job or New Quote Job

8. Job Type for New Job with Customer Asset: This Type will be used in preference to that set against the Employee Mobility Settings 'Jobs' tab. This override is used in conjunction with the Creation Style when Selecting a Customer: New Actual Job or New Order Job or New Quote Job

9.Purchase Type for New Purchase Order: This Type is used in preference to that set against the Employee Mobility Settings 'Suppliers' tab. This override is used in conjunction with the Creation Style when Selecting a Supplier: New Order Purchase

10.Sales Type for New Sales Order: This Type is used in preference to that set against the Employee Mobility Settings 'Customers' tab. This override is used in conjunction with the Creation Style when Selecting a Customer: New Quote Sales or New Order Sales

11. Style Image: This is the icon that will display against the Data Template selection list within Freeway if multiple Templates exist for a Lookup

12. How Material Quantities are Posted: Quantities UnChanged (Default) - Freeway interprets Qty's entered as their natural sign eg: 10 will be interpreted as 10. Quantities Reversed: Freeway will interpret the Qty entered as an opposing sign. eg: 10 will be interpreted as -10. This setting provides an option to create a template that can handle product returns where the quantities entered will be reversed when posting back into Ostendo

13. Time Tracked is Active if Auto On and Off Site for Start/Stop Times is set: Tick this box to activate Time Tracking when "Start/Stop On Site and Off Site" is set to Auto On. This flag needs to be turned on if you wish the mobile device to send back GPS tracking coordinates only when Times data is captured on the datasheet template.

14. No Auto Post: This allows you to control the posting of the Data Sheet when it is returned to Ostendo. NB: This setting takes precedence over the Mobility Rule - No Automatic Data Sheet Posting

15. Assignment Un-Finished on Completion: Tick this box if you are using the Assignment Board to deploy work to Freeway Users and you wish to not flag the Assignment as 'Finished' when the Datasheet using this Template is returned to Ostendo. This is useful if some Pre-Work needs to be conducted prior to the actual work itself.

16. Materials are Added as Planned Only: This is used in conjunction with a Template type of 'Materials'. Typically selection of Materials will issue those Materials directly to the Job. However this setting allows you to simply record Materials as Planned Qty's within issuing them. This is useful when you are creating a Job Order and simply wish to record the goods that are required.

17 & 18. Sheet Completion Instruction and Sheet Completion Caption: These two fields allow you to control the wording that appears in the Data Sheet screen on Freeway (Refer below)


19. Default Picking and Receipting Location Logic: This setting takes precedence over the same settings in the Employee Mobility settings 'Materials' tab

  • Mobility Settings - Freeway will use the Employee Mobility settings from the 'Materials' tab of the Freeway Employee 
  • Use Product Default - The Items Product Default Issue / Receipt Location will be used by Freeway to determine the Location to be used
  • Fixed From Employee - The Freeway Employees default Location will be used by Freeway to determine the Location to be used
  • User Specified - The Freeway Employee will be required to scan the Location barcode to enable Freeway to determine the Location to be used

20. Notes: Record any notes relating to this Style Template. Freeway does not use these Notes.

21. Forwarding Employees: This is used in conjunction with the Template Type 'Forward'. This allows a Freeway user to partially complete a Datasheet and then forward it to another employee. Upon receipt of this Datasheet, this other employee would be able to complete it and send it back to Ostendo, or possibly even forward it onto someone else for final approval. If a Capability is defined, then the Datasheet can be forwarded to any other employee with that same Capability. This means an apprentice could initially complete a Datasheet and then forward it onto to a Tradesmen for final signoff.

  • Sequence: This defines the sequence the Type will be displayed in the Datasheet within Freeway
  • Type (Refer below for explanation of all available Types). For further information on when to use these types refer to the Style Template Types Matrix topic
  • ASSET  (able to be marked as Mandatory within the Template) to view the Customer Asset. Asset linked to a Job or the Assets / Equipment List linked to a Customer. Ensure the Mobility user has Customer Asset Selection selected
  • ASSETSERVICESTATUS to prompt the Freeway user to indicate whether the asset is serviced or not. Available options for the Mobility user are:
    • Service Completed
    • Service Not Completed - Asset In Use
    • Service Not completed - Asset Not Found
    • Service Not Completed - Asset in Repair
    • Service Not completed - Other

If the assets are not serviced, notes can be added to describe the reasons for the non-completion. Ostendo Freeway can be used to facilitate the servicing of multiple customer assets at a site. For a full description of how to do that, please refer to : Freeway Multi Asset Servicing

  • ASSYPICKING to pick items from inventory for use in the Assembly Step (remaining quantities only). (Requires a live connection with the Ostendo database).
  • ASSYRECEIPTING to receipt assembled items into inventory. (Requires a live connection with the Ostendo database).
  • ASSYTRACKINGCODE (able to be marked as Mandatory within the Template) to immediately update the Tracking Code of the associated Assembly Order. (Requires a live connection with the Ostendo database). 
  • AUDIO to record an audio.
  • CHECKLIST (must be predefined) adds a CheckList to the template.
  • CORRECTIVEACTION this type allows you to initiate a Call Ticket only, or a Quote, or an Order, or a Ticket and an Order, or a Ticket and a Quote to address situations which may arise at the site while working on a task. The types of corrective actions that can be initiated depends on the Corrective Action Styles defined in Mobility Settings.   • COUNTLINES to dynamically pull in Inventory Count Lines. (Requires a live internet connection).
  • CUSTOMERDETAILS to enter some basic data for new customers.
  • DELIVERYDETAILS adding this type will automatically create a Picking Checklist to allow the user to enter the following information:
    • Picking and Packing Status
    • Picking Complete - this is a checkbox to indicate if picking is completed for the delivery order.
    • Packing Complete - this is a checkbox to indicate if the items are all packed.
    • Delivery Shipment Details:
    • Actual Weight (Kg) - enter the weight of the shipment here
    • Actual Volume (M3) - enter the volume here
    • Number of Pieces - enter the quantity here
    • Freight Information:
    • Shipping Reference - enter shipping reference here
    • Specified Shipping Method - enter shipping method here
    • Override Standard Freight Charge - tick this checkbox if required
    • Specified Nett Freight Charge - enter value here
All the above checklist items are optional. Use as required.
When the datasheet is completed and synchronized with Ostendo, these details will be used to update the Delivery Order.
  • DELIVERYDROPOFF Allows you to indicate whether the delivery was actually dropped off at the site (by ticking a box) and also to add some notes. These notes will update the Drop-Off Notes tab in Sales Delivery.
  • DELIVERYLINES to dynamically pull in delivery lines from Ostendo Delivery Order.
If Delivery Mode for Mobility User is "Proof of delivery" then he can just view the delivery lines. (Can be used Offline)
If Delivery Mode is "Delivery Pick", then he can proceed with picking of each Delivery line.
Note that Delivery Lines are dynamically synchronized with Ostendo during the picking process. (Requires a live connection with the Ostendo database). 
  • DYNAMICCHECKLIST to generate a dynamic checklist for a Job or Assembly or Delivery. The checklist is defined by some specifications entered in the Notes or Instructions section of the Job/Assembly/Delivery.
  • FOLLOWUP to generate a follow-up assignment.
  • FORWARD to forward the Datasheet to another employee.

The employees that can be forwarded to are defined in the Style Template's Detail - Forwarding Employees tab.

  • HAZARDS to view hazards and instructions linked with the job / Customer site / BOM.
In Ostendo, hazards and instructions are defined in General -> Hazard Groups (and Hazards)Hazards and Instructions can be linked to Customers, Jobs, and Bill Of Materials.
  • IMAGES to add or take Photos
  • INQUIRY (must be predefined)  Allows a relevant custom inquiry relating to key Datasheet data. E.g. a job datasheet will only be able to run a JOBINQUIRY type, a Assembly datasheet will only be able to run an ASSEMBLYINQUIRY type..   (Requires a live connection with the Ostendo database).  
Standard Freeway Inquiries (like Job Info, Customer Info, Assembly info, etc) will NOT be available from within the Datasheet. Custom Inquiries will NOT be available to Templates for Stock Counts or specific products. 
  • INVOICEFIELDS to enter data into AdditionalFields either when the order is created or updated.

    These types have two functions:

    1. To make some Standard Ostendo fields available to the Freeway user when new Orders or Transactions are being created. NB: These fields are only intended to be used when creating New Orders / Transactions and are Predefined based upon the Transaction being performed.
    2. Any Additional Fields relating to the Transaction type which have been marked as 'Available to Mobility' (File -> Customisation Configuration -> Additional Fields) will also be displayed here. You are able to update these Additional Field values for both new and existing orders
  • ITEMBATCHENTER to enter the Item Batch Number manually
  • ITEMBATCHSCAN to enter the Item Batch Number by scanning
  • ITEMSCANBATCHENTER to enter the Item Batch Number by scanning or keying in.
  • JOBFIELDS To enter data into AdditionalFields either when the order is created or updated.

    These types have two functions:

    1. To make some Standard Ostendo fields available to the Freeway user when new Orders or Transactions are being created. NB: These fields are only intended to be used when creating New Orders / Transactions and are Predefined based upon the Transaction being performed.
    2. Any Additional Fields relating to the Transaction type which have been marked as 'Available to Mobility' (File -> Customisation Configuration -> Additional Fields) will also be displayed here. You are able to update these Additional Field values for both new and existing orders
  • JOBPICKING to dynamically pull in Job Task Lines for picking (remaining quantities only). (Requires a live internet connection).
  • MAP to view a map based on the address of the selected Customer.
  • MATERIALS to enter materials for a job or order or restock or expenses/claims made by a subcontractor employee.
What materials can be entered is controlled by Employee Mobility Settings -> Materials Tab -> Restricted Materials List
  • NEWGUIDE to create two sections in the Datasheet to help compile a draft User Guide.
One section to enter Guide Name, Guide Description, and Guide Notes
Next section to create Guide Slides (with Slide Name, Slide Description, Slide Image, Slide Notes, and Slide Sequence)
  • NEWJOBTASK (Do Not Use)
  • NOTE (must be predefined) (able to be marked as Mandatory within the Template) Allows notes to be captured
  • NOTIFY (must be predefined) Allows the Mobility Employee to send a notification text or email message from within a Datasheet. The Notify Group Name is specified in the Template line Option.
The idea here is to be able to define formal "Control Points" during a datasheet process, allowing the user to send a Freeway Notification (Txt or Email) from specific points within the Datasheet. This could also be used to force the Freeway user to send a txt or email when a specific point of the Datasheet has been reached.
  • PLANNEDLINEINFO to view the planned Job Lines in the selected job.
  • PRINT (must be predefined)  Enables the Mobility Employee to print/email a report from within Freeway.
  • PURCHASEFIELDS to enter data into AdditionalFields either when the order is created or updated. 

    Special Note on the following Types

    • JOBFIELDS
    • TASKFIELDS
    • SALESFIELDS
    • PURCHASEFIELDS
    • RECEIPTFIELDS
    • INVOICEFIELDS

    These types have two functions:

    1. To make some Standard Ostendo fields available to the Freeway user when new Orders or Transactions are being created. NB: These fields are only intended to be used when creating New Orders / Transactions and are Predefined based upon the Transaction being performed.
    2. Any Additional Fields relating to the Transaction type which have been marked as 'Available to Mobility' (File -> Customisation Configuration -> Additional Fields) will also be displayed here. You are able to update these Additional Field values for both new and existing orders
  • PURCHASERECEIPTING to dynamically pull in Purchase Order Lines for receipting (remaining quantities only). (Requires a live connection with the Ostendo database).
  • PURCHASERECEIPTSLIP to enter a Packing Slip Number (Only used for New Receipt Purchase when selecting Supplier ie: Where no Purchase Order is used). 
  • QUANTITIES (must be predefined) to record quantities for statistical purposes. These recorded quantities will then update statistics of the associated Customer or Supplier / Customer Asset / Customer Asset Readings / Site / Item . QUANTITIES must be associated with a List of materials (Items and/or Descriptors). A further explanation of this concept can be found here: Recording Quantities & Statistics
  • READING (able to be marked as Mandatory within the Template) to record meter readings of the associated Asset.
  • RECEIPTFIELDS to enter a Packing Slip Number (Only used for Update Receipt when selecting Purchase. ie: Receipting from an existing Purchase Order).
Warning
The RECEIPTFIELDS Type will also display Receipt Additional Fields in Freeway. Please Note, Do not enter anything in these Additional Fields in Freeway as they are NOT updated when the Datasheet is returned to Ostendo.
  • REGISTER (must be predefined) Ability to enter multiple Checklist Entries
Up to 20 fields per line can be defined via a CheckList. Register type can also be used with multi asset servicing checklists.
  • RESTOCK to indicate when the selected restock materials are required by.
  • SALESFIELDS to enter data into AdditionalFields either when the order is created or updated.

    These types have two functions:

    1. To make some Standard Ostendo fields available to the Freeway user when new Orders or Transactions are being created. NB: These fields are only intended to be used when creating New Orders / Transactions and are Predefined based upon the Transaction being performed.
    2. Any Additional Fields relating to the Transaction type which have been marked as 'Available to Mobility' (File -> Customisation Configuration -> Additional Fields) will also be displayed here. You are able to update these Additional Field values for both new and existing orders
  • SALESTRACKINGCODE (able to be marked as Mandatory within the Template) to immediately update the Tracking Code of the associated Delivery Order. (Requires a live connection with the Ostendo database). For Sales Orders and Quotes, this will update only when the datasheet is synchronized.
  • SIGNATURE (must be predefined)  Ability to capture a signature.
  • SKETCH (must be predefined) Ability to draw a sketch A Sketch type can also be used to take a photo and add annotations onto it.
  • STEPSTATUS to update the Assembly Step status as “Finished” if this is ticked.
  • SUPPLIERDETAILS to enter some basic data for new suppliers.
  • SUPPLYCOMPANIES (Do Not Use)
  • TASKFIELDS to enter data into AdditionalFields either when the order is created or updated.

    These types have two functions:

    1. To make some Standard Ostendo fields available to the Freeway user when new Orders or Transactions are being created. NB: These fields are only intended to be used when creating New Orders / Transactions and are Predefined based upon the Transaction being performed.
    2. Any Additional Fields relating to the Transaction type which have been marked as 'Available to Mobility' (File -> Customisation Configuration -> Additional Fields) will also be displayed here. You are able to update these Additional Field values for both new and existing orders
  • TASKSTATUS to update the JobTask status as “Finished” if this is ticked.
  • TICKET to raise a Call Ticket.
  • TICKETACTIONS to create one or more Call Ticket Action.
  • TIMES to enter labour times for internal employees and subcontractor employees.
The Time Entry Mode is specified in Employee Mobility Settings - Time Entry tab.
  • TRACKING to indicate OnSite / OffSite tracking.
This will also capture the GPS coordinates at the point when this is selected.
  • TRACKINGCODE (able to be marked as Mandatory within the Template) to immediately update the Tracking Code of the associated Job. (Requires a live connection with the Ostendo database). 
  • TRANSFERADHOC to select and transfer stock from one location to another. User can select multiple items from one warehouse location and transfer them to a specific warehouse location.
This type of transfer is suitable when you wish manually select the items to transfer. These items are not restricted to your Materials List or any Item Restriction Conditions under the Employee Mobility Settings (Requires a live internet connection). 
  • TRANSFERASSIGNED to transfer stock required for a user's assigned jobs to his/her van stock. The system will compare what is required from all the assigned jobs against the current van stock levels.
This type of transfer pre-populates transfer lines with all sum totals of items which have remaining ‘planned’ quantities for jobs that have been assigned to this Freeway employee. The idea here is to suggest what items and total quantities are required (based on the remaining qtys of job planned lines) for all jobs assigned to this employee. The employee can then simply choose to transfer what they believe they will require. They are not forced to transfer anything if they choose not to. In addition to this, these transfers allow the user to also select materials from their “Materials” list if they choose. (Requires a live internet connection). 
  • TRANSFERRESTOCK (must be predefined)  Ability re-stock a technician's van stock based on a pre-defined Re-Stocking Template (Inventory -> Settings -> Re-Stocking Template).
Warning NB: A separate Warehouse must be defined for this purpose. It cannot be the same warehouse used to Transfer From.
The concept here is to create a Re-Stock Template (From Inventory-> Settings->Re-Stock Template), so that field staff can replenish vehicle stock back to their optimum levels. In addition to this, these transfers allow the user to also select materials from their “Materials” list if they choose. Stock transfers initiated from the Freeway App requires an online connection as the transfers are entered into Ostendo dynamically and posted when the datasheet is completed. (Requires a live internet connection)
  • TRANSFERCONTENTS Planned transfers are able to be generated for any of the following:
    • Assembly Orders (All planned Items on the Order covering all Steps)
    • Assembly Steps (All planned Items on the Order covering specific Steps)
    • Job Orders (All planned Items on the Order covering all Tasks)
    • Job Tasks (All planned Items on the Order covering specific Tasks)
    • Delivery Orders (All items specified on the Delivery)
    • List Code (All Items specified in a Std List. Excludes dynamic lists)
    • Kitset Code (All Items specified in the Kitset)

  • Description: Optionally enter a short description for each Template item otherwise Ostendo will prefill with a Standard description.
  • Option: Where applicable, you need to associate the desired name with the Template item. For example, if the type is CHECKLIST, then the Option must contain the name of a pre-defined Check List.
  • Include in Print: Tick this box to include this template in the Datasheet printout from Ostendo.
  • Display Option : Select one of the following :
    • Always : template item will always appear in the screen
    • Optional : template item will be hidden unless the user choose to display it on the screen
    • Hidden at PreStart : this entry is hidden from the Freeway screen until the PreStart Checklist has been completed or mandatory satisfied.
    • Shown at PreStart : this entry is shown on the Freeway screen when the PreStart Checklist is presented
    • PreStart Checklist : Only one checklist in a style template may be defined as a "Pre-Start".

The concept of this is to force the Freeway user to complete various functions within the Datasheet prior to commencing the work in full. For example, you may have a PreStart checklist to identify hazards prior to starting the work. Once these are completed, only then does the Datasheet reveal all other template options available to the user.

A PreStart checklist is setup the same as any other checklist, however one or more groups in it must be set to ‘Mandatory’.

  • Override Group Caption : If you wish to group a few template items together, you can do so by entering the same caption for those items here.

All items belonging to the same group should be listed one after another.

  • Mandatory Entry: There are specific Style Template Types that can be marked as Mandatory Entry. This will force the Mobility user to complete the Type specified. Applicable to the following Template Types:
    • ASSET
    • ASSYTRACKINGCODE
    • SALESTRACKINGCODE
    • TRACKINGCODE
    • NOTE
    • READING

Settings Tab

This tab allows you to override specific Mobility Employee settings and Mobility Settings when this Style Template is used.

  • Specific Employee: If ticked, this allows you to define specific overrides to be used when this Style Templates is used by a specific Mobility Employee or if unticked this will relate to all Mobility Employees who create Datasheets using this Style Template
  • Employee Name: Only required if the Specific Employee field is ticked (This must be the Mobility Employee creating the Datasheet from this Template)
  • How Times are Posted in Ostendo:
    • Use Employee Setting: Ostendo will use the appropriate setting based upon this Mobility Employee to post Times
    • Job Direct: Times are posted Directing to the Job rather than creating a Timesheet Entry
    • Create New Timesheet: A new Timesheet Batch will be created each time this Template is used when Times are recorded within the Datasheet
    • Add to Existing Timesheet: If an InProgress Timesheet already exists for this Employee, the times from the Datasheet will be added as new Timesheet Lines within that same Timesheet batch. Ostendo will create a new Timesheet batch if one does not already exist.
    • Add to Daily Timesheet: If an InProgress Timesheet already exists for this Employee for this day, the times from the Datasheet will be added as new Timesheet Lines within that same Timesheet batch. Ostendo will create a new Timesheet batch if one does not already exist.
    • Add to Weekly Timesheet: If an InProgress Timesheet already exists for this Employee, for this week, the times from the Datasheet will be added as new Timesheet Lines within that same Timesheet batch. Ostendo will create a new Timesheet batch if one does not already exist. NB: This Weekly Timesheet Start Day is set on the Times tab within Mobility -> Employee Mobility Settings
  • Default Labour Code for Time Entry: This is the Default Labour Code to be used when a new Timesheet entry is created in Freeway from this Template

  • Auto Time Entry Creation Rule: 

    • Use Employee Setting: Ostendo will use the appropriate setting based upon this Mobility Employee to create Time Entries

    • Auto Insert Time Entry on Sheet Creation: A New Time Entry will be created for this Mobility Employee when the Datasheet is created using this Template

    • No Auto Insert of Time Entry: This will not auto create a new Time Entry for this Mobility Employee upon creation of the Datasheet.

  • Materials Prefill List: This swaps out the Materials Prefill List specified on the Mobility Employee when this Template is used.

  • Use Pre-fill Qty: Automatically prefills the Materials qty for this Datasheet with that specified against each list Item
  • Charge Style: Any Timesheet entry created from this Template will use this Charge Style
  • Assigned Transfer Horizon Days: This rules takes precedence over the same Mobility -> Settings rule.  This rule specifies how far ahead Freeway needs to review stock requirements of assigned jobs for this Mobility Employees when this Template is used. If this entry is left Blank, Freeway will only look for jobs assigned 1 day out.

Style Template Matrix

Before any new Style Template can be made available, it must be defined in the Style Matrix Template (Mobility ->Style Template Matrix). This allows you to control which Mobility Employees have access to specific Style Templates.

The rules in this template can be general or as specific as you require.

eg: You may only wish to have a specific templates available to some Mobility Employees when they create certain Datasheets. Irrespective of how specific you wish to define these, you must ensure that at least one Template is available to each relevant employee in order for them to have at least one templates available for the type of transaction they are allowed to create.

Data Sheet Styles:
  • Customer: This will allow you to define Template(s) used (when the Creation Style is Customer) based upon the Job Type and/or Customer Type and/or Customer Name, being selected or used when the Datasheet is created
  • Supplier: This will allow you to define Template(s) used (when the Creation Style is Supplier) based upon the Supplier Type and/or Supplier Name being selected or used when the Datasheet is created 
  • Job: This will allow you to define Template(s) used (when the Creation Style is Job) based upon the Job Type and/or Customer Type and/or Customer Name being used when the Datasheet is created 
  • Assembly: This will allow you to define Template(s) used (when the Creation Style is Assembly) when the Datasheet is created (no restrictions apply to Style Assembly)
  • Delivery: This will allow you to define Template(s) used (when the Creation Style is Delivery) based upon the Customer Type and/or Customer Name being used when the Datasheet is created  
  • Purchase: This will allow you to define Template(s) used (when the Creation Style is Purchase) based upon the Supplier Type and/or Supplier Name being used when the Datasheet is created  
  • Count: This will allow you to define Template(s) used (when the Creation Style is Count) when the Datasheet is created (no restrictions apply to Style Count) 
  • Internal: This will allow you to define Template(s) used (when the Creation Style is Internal) when the Datasheet is created (no restrictions apply to Style Internal) 
  • Transfer: This will allow you to define Template(s) used (when the Creation Style is Transfer) when the Datasheet is created (no restrictions apply to Style Transfer)
  • All: This will allow you to define Template(s) used when the Datasheet is created for all Creation Styles. (It is recommend that no restrictions are defined if 'All' is used.
